Short answer: the WhatsApp Business app is free and fine for one person answering customers from a phone. The WhatsApp Business Platform (API) is for teams. It lets several people share one number, connect chatbots and automation, send approved campaigns to large opted-in lists, and plug WhatsApp into your CRM or store. It has no app of its own, so you use it through a platform such as Omni, and Meta charges per message. When the WhatsApp Business app is enough

  • One or two people handle every chat.
  • You message a few dozen customers a day, mostly replying.
  • Your promotions reach fewer than a few hundred people who have saved your number.
  • You don't need chats to appear in a CRM or to trigger other tools.

The app is genuinely good at this. It's free, fast to set up, and it has a catalogue, labels, quick replies and away messages.

Signs you've outgrown the app

  • Several people need to answer from one number without passing a phone around.
  • Customers wait because nobody sees new messages outside working hours. A chatbot or auto-reply would help.
  • Broadcasts are capped at 256 per list and only reach people who saved your number.
  • You can't measure anything. There's no per-message delivery or read reporting for campaigns and no agent response times.
  • You copy data by hand between WhatsApp and your store, calendar or CRM.

What the API adds, and what it costs you

What you gain:

  • A shared team inbox. Every agent works from the same number, and conversations are assigned so two people don't reply to the same customer.
  • Automation. Chatbots, AI replies trained on your own content, keyword auto-replies and multi-step workflows.
  • Approved campaigns. Send templates to large opted-in lists, with per-recipient delivery tracking.
  • Integrations. Order updates from Shopify or WooCommerce, appointment bookings, webhooks to your own systems.
  • One place for every channel. Platforms like Omni put Instagram and Messenger DMs in the same inbox.

The trade-offs:

  • Meta charges per message. Plan for template costs, and for service messages from October 2026.
  • Templates need approval before you can start a conversation or message someone after 24 hours.
  • Stricter quality rules. Meta tracks blocks and reports, and a low quality rating limits how many people you can message.

Keep the app and add the API: coexistence

Meta's coexistence feature lets a business connect a number that's already on the WhatsApp Business app to the API without giving up the app. After onboarding:

  • you can still send one-to-one messages from the app on your phone,
  • chat history stays in sync between the app and your API platform,
  • messages you send from the phone app stay free, while messages sent through the API follow API pricing,
  • a number used in both places has a fixed throughput of 20 messages per second.
