Set up email for campaigns (SMTP)

Connect your own SMTP server so Omni email campaigns send from your domain, plus the SPF, DKIM and DMARC records that help them reach the inbox.

Email campaigns in Omni are sent through your own SMTP server, so they come from your domain and build your own sending reputation. Each workspace sets up its own server.

This is only for campaigns. Account emails from Omni itself, such as password resets, invitations and invoices, are sent by the platform and need no setup.

Connecting your SMTP server

  1. Go to Campaigns → Email server.
  2. Enter the details from your email provider:
    • Host and port (usually 587 with TLS, or 465 with SSL)
    • Encryption (TLS or SSL)
    • Username and password (often an API key or app password)
    • From email and from name, which your recipients will see
  3. Click Test to send a test email and check the connection.
  4. Save.

You can now choose Email as the channel when you create a campaign.

Choosing a provider

Any SMTP provider works. For bulk email, use a service built for sending volume rather than a personal mailbox. Personal mailboxes have low daily limits and can be suspended for bulk sending. Commonly used services include Amazon SES, Postmark, Mailgun, SendGrid, Brevo and Resend. Some of these restrict marketing email, so check your provider's policy for promotional sends.

Make sure your email is delivered

Set these DNS records for the domain in your from address. Your email provider shows the exact values to use.

Record What it does
SPF Lists the servers allowed to send email for your domain.
DKIM Signs each email so receivers can check it wasn't altered.
DMARC Tells receivers what to do with email that fails SPF and DKIM, and sends you reports.

Since 2024, Gmail and Yahoo require bulk senders (for Gmail, those sending around 5,000 or more messages a day to its users) to have SPF, DKIM and DMARC in place and to offer easy unsubscribing. Smaller senders still need SPF or DKIM. Without them, campaigns are likely to be filtered or rejected.

More ways to protect your sending reputation:

  • Warm up a new domain: send to your most engaged contacts first, and increase volume over a few weeks.
  • Send only to people who opted in, and remove addresses that bounce.
  • Use the AI assistant in the campaign editor to draft the email body or improve the subject line, then edit the draft in your own voice.
