Workspaces and team members

How Omni workspaces keep brands and clients separate, how to invite teammates, and what the Administrator and Staff roles can do.

A workspace holds one set of contacts, conversations, connected channels, chatbots, automations and campaigns. Team members are the people who work inside it with you.

Workspaces

Each workspace is fully separate from the others: contacts, conversations and reports never mix between workspaces. Use one workspace per brand, per client (if you are an agency) or per department.

Switching workspaces

Click the workspace name in the top bar and choose another. The inbox, contacts, reports and every other page switch to the selected workspace straight away.

Creating a workspace

Open the workspace switcher and choose Create workspace, or go to Workspaces (/app/workspaces). Give it a name and it's ready. How many workspaces you can have depends on your plan; see Billing and plans.

When to use more than one workspace: agencies that manage several brands, and businesses with separate product lines, should keep each in its own workspace so customer data never mixes. A single brand needs only one.

Team members

Where: Team (/app/team)

Invite colleagues so everyone can answer conversations, run campaigns and share notes in the same workspace.

Inviting a teammate

  1. Go to Team.
  2. Click Invite, then enter their email address and choose a role.
  3. They receive an email with a link to join and set a password.

You can revoke an invitation any time before it is accepted.

Roles

Role What they can do
Administrator Everything, including managing the team, billing, workspace settings and integrations.
Staff The day-to-day tools (inbox, contacts, campaigns and the rest) without team or billing administration.

A workspace always keeps at least one Administrator. Omni won't let you demote or remove the last one.

Managing members

From the Team page you can change a member's role, remove someone who has left, or cancel a pending invitation.

Plan limits apply. The number of team members and inbox agents depends on your plan. When you reach the limit, Omni asks you to upgrade before you can invite more people. See Billing and plans.

Working together in real time

When a teammate replies to a customer, assigns a conversation or marks it resolved, everyone sees the change instantly, with no refresh needed. Each person chooses their own notification settings; see Account and security.
